From personal habit to team system — the four artefacts

The problem

Three people in your team use AI well and four do not. The three do it differently, with different quality standards. One of them leaves and takes their prompts, their knowledge of what fails, and their verification habits with them.

The workflow
1Write the context block
2Collect the best prompts
3Write the standard
4Build the knowledge base
5Assign an owner
6Onboard someone with it
7Fix what confused them

What comes back

3. HIGH-RISK GAPS, ranked — this is your starting point.

Verify before you use it

Human review required. Check every line below before this leaves your screen.
  • Write the returns section first, including the three cases your team gets wrong. That is two pages and it addresses your actual problem.
  • Resist copying prices into the knowledge base. A pointer to the live rate card is correct; a copy will go stale and be trusted.
  • Give ownership to the person who uses it most, not the most senior person. They notice staleness first.
  • Test it: give the returns section to someone new and ask them to answer three real customer questions. What they get wrong is what is missing.
